If you'd like to customize the print out or emailed reports for sales orders, purchase orders, quotes, invoices, or data reports, please follow the steps below.
First, go to reports, and either choose the report or choose the documents tab to find the report you'd like to customize. For this example, we'll be adjusting a Purchase Order.
Once you choose your report, click customize to edit the report itself.
Here, you'll find a number of filters, options, and other data. What we need is the Primary and Calculated columns sections. The far right of each row has an X to remove that column from the report.
- Click to drag and drop the row to change the order they're displayed. The top row is the first column. Note: this also impacts the sorting. Finale sorts alphanumerical based on the first column, then second column, etc. For example, if you want to sort by product ID, make sure this is the first displayed column.
- Use this to add any additional columns
- This is how to rename the column when the report runs
- This is the column width. You'll need to pay attention to the bottom of the screenshot where it says "Formatting" and has total width. Less than 7.5 overall will print in portrait layout. Between 7.5 and 10 will print in landscape layout. Anything in excess of 10in will not be shown on the printed PDF, but WILL still export to excel, csv, etc.
- Change the line justification
- This determines if the data will do a line break and continue below, or if it'll clip if it reaches the maximum width
- Formatting is if you want a value to generate as a barcode instead of alphanumerical, or to force round a number to a specified number of digits
- For date formatting
- This is ideal for PDF. If you are generating to excel or a data export, you do not want any grouping.
In the Label field, you can rename columns. If you have a small column width and you want the line to wrap instead of being cut off, use \n before the word you'd like on the next line to have it skip the next line below. For example, to make Quantity Available broken into two lines like below:
Quantity
Available
you would write it as "Quantity\nAvailable".
